Personal Assistant – CEO Office

The Personal Assistant (PA) to the Chief Executive Officer (CEO) is responsible for providing high-level administrative support, managing schedules, coordinating meetings, handling confidential information, and facilitating smooth communication between the CEO and internal/external stakeholders to enhance organizational efficiency.

Key Requirements:

1. Education & Experience:

  • Bachelor’s degree in Business Administration, Communications, Management, or a related field.
  • Minimum of 2+ years of experience as a Personal Assistant, Executive Assistant, or in a similar high-level support role.
  • Experience working with C-suite executives in a fast-paced corporate environment.

2. Skills & Competencies:

a) Executive Support & Administration

  • Strong organizational and multitasking abilities to manage complex calendars, meetings, and travel arrangements.
  • Ability to handle high-pressure situations with professionalism and discretion.
  • Experience in preparing executive-level documents, reports, and presentations.

b) Communication & Interpersonal Skills

  • Exceptional written and verbal communication skills in English (additional languages are a plus).
  • Ability to interact confidently with senior executives, board members, and high-profile clients.
  • Strong negotiation, diplomacy, and interpersonal skills.

c) Technical Proficiency

  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, OneDrive, SharePoint).
  • Familiarity with project management tools and virtual communication platforms (Zoom, Teams).
  • Experience managing confidential digital files and records.

d) Confidentiality & Discretion

  • Strong understanding of corporate confidentiality and ability to handle sensitive information with the highest level of discretion.
  • Compliance with ethical business practices and corporate governance principles.

e) Problem-Solving & Adaptability

  • Ability to anticipate the CEO’s needs and proactively resolve issues.
  • Excellent judgment, decision-making skills, and adaptability in dynamic situations.

Key Responsibilities:

  • Manage the CEO’s daily schedule, meetings, and travel arrangements.
  • Act as a liaison between the CEO and internal/external stakeholders.
  • Prepare reports, presentations, and correspondence on behalf of the CEO.
  • Conduct research and provide briefings for key business meetings.
  • Handle confidential communications and ensure smooth workflow for the CEO.
  • Oversee special projects and coordinate cross-departmental initiatives.
  • Manage expense reports, vendor relations, and administrative tasks.

Job position : Officer (Contract)
Location : Kuantan, Pahang

The role is focused on execute the Certification & Training Division and assist for development and implementation of business strategies, plans and processes to support organizational goals on Management System Certification (MSC) & Management System Training (MST) services.

Requirements:

• Minimum Degree in any discipline from a recognized University/ Institute. Preferably in IT/ Office Management background.
• Minimum 1-year experience in administrative/ data analysis/ office management
• Excel in MS Office (Word, Excel and PowerPoint).
• Attention to details and problem-solving skills.
• Good interpersonal & communication.
• Experience in handling ISO Certification Process would be an advantage.

Responsibilities:

MSC Program Planning

  1. Ensuring that Requirements for Body Providing Audit And Certification Of Management Systems (ISO/IEC 17021:2011) – Accredited Certification Body are met
  2. Assist in planning the MSC program target quarterly, yearly
  3. Amending and revising documentation on ISO/IEC 17021:2011 as necessary, in order to adapt to the changes that occur in the current standard
  4. Assist in supervising the work of lead auditors/ auditors and officers

To provide high quality MSC services

  1. To discuss any client MSC needs when necessary
  2. Where appropriate, to assist in evaluate MSC services in order to facilitate progress monitoring
  3. To approach clients and tailor specific customer requirement standards/ guidelines to fit their specific needs
  4. To visit clients to discuss MSC needs
  5. To assist in ensure that lead auditors/ auditors are qualified and subject to standard requirement
  6. To gain recognition from related body for each MSC Scheme
  7. Where appropriate, to conduct MSC audit

To maintain effective communication with clients

  1. To establish MSC promotional material and information to the public
  2. To ensure that MSC requirements are adequately specified and documented
  3. To ensure MSC services meets customer requirements and is evaluated appropriately

To establish the effectiveness of MSC services

  1. To acquire feedback on the MSC services needed for future planning/ management information

Management System Training (MST)

To provide high quality training

  1. To provide high quality professional training courses and materials
  2. To provide advice, assistance and information to the Management Team and other departments within the organisation, where and when necessary
  3. To discuss any client training needs when necessary
  4. Where appropriate, to evaluate training courses in order to facilitate progress monitoring
  5.  To approach clients and tailor specific customer training courses to fit their specific requirements.
  6. To visit clients to discuss all training requirements
  7. To ensure that trainers are qualified and subject to standard requirement
  8. To gain recognition from related body for each training program

To maintain effective communication with clients

  1. To establish NCSB’s training promotional material and information to the public.
  2. To ensure that training requirements are adequately specified and documented
  3. To ensure training provision meets customer requirements and is evaluated appropriately
  4. To coordinate in dealing with HRDF fund/scheme.

To establish the effectiveness of training

  1. To acquire feedback on the courses needed for future planning/management information.

To develop and maintain training material

  1. To maintain training material in line with changes
  2. To ensure that training materials are appropriate to client’s requirements.
  3. To design training materials that reflects Management System developments.
